Privacy Policy
This Privacy Policy explains what information LabelMyTrip collects when you use our trip-labeling service, how it is used by our AI processing, how long we keep it, and the choices available to you.
What we collect

How we use your data
We use your uploaded documents to generate your paid deliverables: a luggage labels PDF, a trip summary PDF, and an AI Trip Info Review.
We also use your email to send verification codes, magic links, payment confirmations, and your final data export before deletion.
Legal basis for processing
Where applicable (for example, under the EU/UK General Data Protection Regulation), we process your data on the following bases:
- Contractual necessity — to deliver the trip service you have paid for.
- Consent — where you provide another person's luggage contact information, you confirm you have their consent to share it with us.
- Legitimate interest — for basic security, fraud prevention, and service improvement.
Retention & deletion
We keep your trip data only as long as needed to serve you:
- Unpaid sessions: deleted after 24 hours if payment is not completed.
- Paid trips: kept until 30 days after your trip's last travel date.
- At the 30-day mark, we email you a zipped copy of your full trip data.
- 5 days after that (35 days total), your trip folder, files, and deliverables are permanently deleted from our servers.
Who else sees your data
We share the minimum data necessary with the following service providers to operate LabelMyTrip:

We do not sell your personal data to anyone, and we do not share it with any party for any purpose other than operating the LabelMyTrip service itself.
International transfers
LabelMyTrip serves travelers worldwide, and our service providers may process data in countries outside your own, including the United States. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.
Sensitive documents
Your uploads may include passport numbers, photographs, or other government identification. We treat this information as sensitive: it is used only to generate your requested deliverables and is never used for any other purpose, shared with advertisers, or retained beyond the periods described above.
Security
In the meantime, we restrict admin access through short-lived (3-hour) magic links and limit who can reach trip data to what is operationally necessary. No method of transmission or storage is ever 100% secure, and we cannot guarantee absolute security — please avoid uploading any document you would not be comfortable being stored without encryption during this period.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal data, or to object to certain processing. Because LabelMyTrip does not keep persistent accounts, most of these rights are already built into the service — your data auto-deletes 35 days after your trip, and you can request your non-expired magic links or a copy of your data at any time by contacting us.

Cookies & analytics

LabelMyTrip is not directed at, or intended for use by, children under 18. We do not knowingly collect personal data from children.
